AI setups · for small business owners

AI for the jobs you keep putting off.

Set up in your own accounts, and checked by a person.

I'm Jo McKee. My own business runs on a team of AI agents I built and look after myself, and now I set up the same kind of help for other small businesses. Tell me the repetitive jobs that annoy you the most, and take up way more time than they should. I'll come back with a fixed-price recommendation. There's no jargon to learn and no call to book.

No. 01Where most people are

Everyone says use AI, but nobody says for what.

If AI has you a bit lost, you're in good company. You've been told it will change everything, you've tried a chatbot once or twice, and it wrote something that sounded like a brochure for a dentist. Meanwhile the receipts are still in a pile and the newsletter you meant to send in August is still a draft.

You don't need to understand how AI works, any more than you need to understand an engine to get to Proserpine. What helps is knowing which jobs in your own week an AI agent can take on, which ones it shouldn't touch, and who's checking its work. That's the part I do.

No. 02What's possible

Eight everyday jobs, before and after.

Ordinary small business jobs, described the way you'd tell a friend over coffee. Every "after" is something I run in my own business or have set up for someone else.

  1. 01The books and bills

    Before

A Sunday night in Xero before the BAS is due, an invoice that's been overdue for six weeks without anyone noticing, and $29 subscriptions nobody remembers signing up for.

    After

A money brief every Friday morning with what's come in against your target, which invoices are overdue (the old ones flagged in red) and a check on any new subscription before anyone pays for it.

Christine, my CFO agent, writes mine every Friday morning.

  2. 02The inbox and new enquiries

    Before

Enquiries arriving by email, web form and Facebook, and the one from Tuesday that slipped through because it landed in the wrong folder.

    After

Every new enquiry pulled into one list within the hour, with a draft reply waiting for you to check and send.

The hourly pull runs for a client. Draft replies are part of my solar installer setup.

  3. 03Quotes, follow-ups and reviews

    Before

Quotes sent and never chased, and happy customers you meant to ask for a Google review three weeks ago.

    After

A follow-up drafted on day 3 and again on day 7 for every open quote, and a friendly review request ready to go when a job's finished.

Part of the agent I set up for a solar installer.

  4. 04Blogs, emails and social posts

    Before

The blog is three months behind, and the newsletter sounds different depending on who wrote it and how tired they were.

    After

Blogs, emails, social posts and Google Business posts drafted on a schedule from one voice guide, checked automatically for tone and banned phrases, then scheduled. You can stop any post before it goes out.

Running every week for my clients' brands.

  5. 05Your website and ad numbers

    Before

Facebook says the ads made $5,000, your website says $3,000, and you've no idea which to believe.

    After

Sales sent to Facebook straight from your website, plus a daily check that tells you when sales stop coming through or a sale is counted twice, before you spend more on bad figures.

Live for two client brands, checked daily and weekly.

  6. 06Keeping an eye out

    Before

You find out weeks later that a stockist dropped your range, a competitor halved their prices or a page on your site went missing.

    After

A weekly look at the websites you care about, plus a daily check for broken pages on yours, with a short note on what changed.

Daily broken-page checks for a client, with stockist scans in pilot.

  7. 07Reports and a morning briefing

    Before

Pulling figures out of four different logins to work out whether last month was any good, and starting each day not sure what's urgent.

    After

A short message each weekday morning with what ran overnight, what's waiting for you and what's on today, plus one page on Friday with the few numbers that matter.

Rory, my chief-of-staff agent, sends mine every weekday.

  8. 08Video and podcast editing

    Before

An hour-long recording sitting in Downloads because editing it is a whole afternoon.

    After

Upload the recording, get a transcript, edit it by deleting words like a document, then have the clips cut and queued for social.

My own studio for The Jo Show.

Your list will look different. Usually one or two of these are costing you hours, and that's where I'd start.

No. 03What I've built

My own business runs on this, every single day.

McKee Creative is just me, by choice, plus a team of AI agents I built and supervise. Between them they run more than 100 scheduled jobs a week for my clients and my own business. Agent work is logged as tickets, every piece of writing passes an automatic quality check, emails and changes to client accounts wait for my OK, and I can stop any social post before it goes live. Here's what's running right now.

Money and admin

  • Christine, my CFO agent, pulls my books from Xero (read-only) every Friday and writes a plain financial brief: revenue against target, overdue invoices, cash and costs. She also reviews every new paid tool against my subscription register before I sign up.
  • Rory, my chief of staff, sends a morning briefing each weekday, keeps the hand-over notes up to date so any agent can pick up where another left off, and runs a Friday catch-up with me on what's working.
  • A ticket system and dashboard I built, so every job an agent does has a ticket number, an owner and a record. There are more than 1,900 so far.
  • A capture line from my phone: send a link or a thought, and it's filed in the right folder of my notes within 15 minutes.

Content in one voice

  • Writing agents that draft blogs, emails, social posts, Facebook and Google ads, and Google Business posts for each client brand, every one working from that brand's voice guide.
  • A quality-check agent that reads every draft 20 minutes after it's written, scores it against the voice guide and a list of banned AI habits, and rewrites or flags it. If the same job fails twice in a row, I get a message.
  • Scheduling pipelines that queue the approved posts, daily short videos and reels, with a window where I can veto anything before it goes live.
  • An email agent for Klaviyo, plus a nightly sync that brings wholesale orders into Klaviyo so the wholesale emails get credit for the sales they make.

Numbers and tracking

  • A server-side relay that sends website sales and leads straight to Facebook for two client brands, with a daily and weekly check that alerts me if the data stops arriving.
  • A one-minute tracking test that visits a store like a customer and records every tag that fires. It's how I found a sale counted twice and a lead recorded the moment a page loaded.
  • Weekly SEO, ad-account and organic reports for each brand, a daily broken-link guard, and a scoreboard of whether AI search engines mention a brand.
  • Stockist Watch, a weekly scan of a fashion label's stockists for range, pricing and sold-outs (in pilot now).

The Jo Show

  • My own studio (it started life as the Cut Room): upload a recording, get a transcript, edit by text, with a teleprompter and a private door for guests.
  • A clip factory that renders the edited episode into short clips and queues them for social, plus a blog post drafted from each episode.

Built for other businesses

A solar installer in South East Queensland
An AI agent running on Grok, set up with the business's own voice guide and a first-jobs list: draft follow-ups for missed calls and open quotes, review requests after each install, and, once they're ready for it, a five-line morning summary for the office manager. It only drafts, and a person approves every message. Feedback is on its way.
A small services business
An agent setup for the owner, in progress now.
The Partner Desk, for agencies
Marketing agencies hand me tracking, ads and email jobs at fixed prices, by email. The agents do the groundwork, so I turn jobs around fast and stay invisible to the agency's client.
The Profit Check
Ninety days of a brand's marketing counted against its store's sales, delivered in writing in five business days. The agents pull and check the data, and I write the findings.
No. 04Why not just buy an AI app?

An app gives you more to run. A setup runs for you.

There are good AI apps now, and some setups I build will use one. The difference is who chooses the jobs, who sets it up to suit your business, and who checks the work.

An AI app off the shelfAn AI setup from me

A blank box that waits for you to tell it what to do.

Starts from the jobs that annoy you most, written down and agreed before I build anything.

Another login, another subscription, another thing to learn.

Built into the tools you already pay for wherever I can. Any new paid tool is priced and agreed with you first.

Writes like everyone else's app writes.

Works from your voice, your prices and the way you do things.

Trusts whatever information it's given.

I check the inputs first (your tracking, your records), so it isn't learning from wrong numbers.

Nobody checks its work but you.

Built-in checks, and you decide what needs your OK. Nothing goes to a customer until a person has read it.

When it breaks, you're in a support queue.

You get written instructions, including how to switch it off, and a written reply from me within one business day.

I'm not against apps. If you enjoy tinkering with the settings yourself, an app may be all you need.

No. 05How it works

Four steps, and no calls.

  1. 01

    You tick a few boxes

Tell me the repetitive jobs that annoy you the most, and take up way more time than they should. The form takes two minutes.

  2. 02

    I reply with a recommendation

In writing, within one business day. Which job I'd start with, what I'd leave alone, and a fixed price.

  3. 03

    I build and test it

In your own accounts, on your real work, until it does the job properly.

  4. 04

    You get the hand-over

A plain-English guide to what it does, what to check and how to switch it off. The setup is yours to keep.

No. 06Prices

Fixed prices, agreed in writing.

Every setup is scoped in writing before you pay, so you know exactly what you're getting. All prices include GST. Running costs, such as an AI subscription in your name, are quoted up front and paid by you.

One Job Handled

A$1,490inc GST, fixed price

One repetitive job, set up end to end.

  • One job from your list, built and tested in your own accounts
  • Two weeks of tweaks once it's running
  • A written hand-over, including how to switch it off

Back Office Starter

A$3,900inc GST, fixed price

Three jobs, set up to work together.

  • Three jobs that pass work to each other, say new enquiries, follow-ups and a Friday summary
  • Built and tested in your own accounts
  • Two weeks of tweaks and a written hand-over

Care

A$249a month inc GST, optional

For when you'd like me to keep an eye on it.

  • Regular health checks that everything's running
  • Fixes if something breaks
  • Small changes as your business changes
  • New builds are quoted separately, and AI subscriptions stay in your name, paid by you
No. 07Is this for you?

Made for busy owners who'd like hours back.

This is for you if

  • You run a small business and lose hours each week to admin, follow-ups or chasing numbers.
  • You're curious about AI but don't want another tool to look after.
  • You'd like a person to set it up properly and stand behind it.
  • You're happy to work by email.

It isn't, if

  • You want AI to replace your staff or your judgement.
  • You'd like daily calls or a Slack channel.
  • You need a promise that AI will never make a mistake (nobody honest can give you one, which is why a person checks).
FAQQuestions people ask

I'm not technical. Will I keep up?

Yes. You tick a few boxes and tell me about the jobs in your own words, and I do the technical part. The hand-over is written for someone who has never opened a settings page, and you can email me if anything's unclear.

Do I need to buy new software?

Usually not. I build into what you already use wherever I can. If a job truly needs a new paid tool, I'll tell you what it costs each month before I start, and you decide.

What will it cost to run each month?

It depends on the job. Some setups cost nothing extra to run, and some use an AI subscription with a monthly fee in your name. You'll see the running cost in writing before you agree to anything.

What happens if it gets something wrong?

AI does get things wrong sometimes, which is why I build in checks and why anything that reaches a customer waits for a person to read it first. You choose which jobs need your OK, and every setup comes with a way to switch it off.

Who can see my information?

Everything is set up in your accounts, in your name. I only use the access a job needs, I don't export your customers' details, and when the hand-over's done you can remove my access. The detail is in my privacy policy.

Will this replace my staff?

That's not what I build. The aim is to take the repetitive bits off people's plates, yours included, so the work that needs a human gets more of their time.

Why don't you take calls?

Written plans are clearer, easier to check later and kinder to your diary. You'll get a written reply to any question within one business day.

How is this different from the Profit Check?

The Profit Check is for product brands that want to know what their marketing really earned. An AI setup is for any small business that wants hours back from admin, writing or reporting. Some people will want both.
